Often, you need to limit your audience, or know some basic information about those who attend your sessions.
There are two ways to create a Participant List in CloudVOTE:
- Pre-registered list
- Free-form list
Pre-Registered List
Pre-registered list allows the organizer to create a “closed” list of people who are allowed into the session. Attendees are required to fill out the form at the time of login exactly as the information was entered into the list (by the organizer).
For example, if you create a list with three pieces of information for the attendee to fill out: Name, ID, Age (Joseph, A10B20, 32), then Joe, the attendee must use this information to log in. Currently, the exact spelling of “Joseph” must be entered – “Joe” will not be validated.
Free-Form List
Free-form list is used when you don’t really know who’s coming to your meeting, but you’d like to ask the attendees to identify themselves somehow. The form doesn’t have to ask for personal information…it could just be demographic. The choice is yours.
Create a List
To create a list, start on your Account Login page and click on Active link under Participants:
Once in the Participants module, click the Add New Participants List button:
From there, name your list and decide to either import it, or create a new one. Finally, select the type of list you’d like to make:
Create a Pre-Registered List
After you selected Pre-Registered as your desired type of list, start adding your Column names. These are the ‘criteria’ you will require attendees to enter to log in:
For example, if your criteria for someone to be eligible to log in is the Department they belong to, along with their Name and Badge ID, then create three Columns: Name, Badge ID, Department.
To add attendees to the list, click on the Add values button and start adding your first participant:
Once you have completed the list and all participants have been added, click the Save Data button:
Create a Free-Form List
Much like the Pre-Registered list, the Free-Form list is created by naming it, and specifying all the Columns/Fields that you want your attendees to enter to be let into the session:
Start a session by selecting your desired Template (Templates --> Active):
If you need to restrict the audience and limit it to “invitation-only” list, choose your Pre-Registered list:
Otherwise, pick the Free-Form list and decide if the attendees MUST enter data into the fields you specified before, or not…or if they even see them in this particular session:
When joining, the participants are greeted with a simple form that you specified in either of the Participant Lists:

Now that you have a list created, you can manage it from the main Participant List view:
