Creating Participant List (Roster) and Setting Keypad Range in TownVOTE

PROBLEM

Your meeting only requires anonymous voting.


SOLUTION

When your meeting needs anonymous answers (e.g., in an open town meeting), you'll only need to worry about setting up a specific Keypad Range in TownVOTE and/or in the EZ-VOTE Connect Dashboard Settings.

All mentioned behavior is based on the EZ-VOTE 5 and EZ-VOTE 5S models.


First, double-check the Settings panel on the Dashboard:


  1. Click the Settings button at the top
  2. Click Refresh to connect to the receiver (make sure it's plugged in)
  3. See what the range is and if needed, change it
  4. If changes were made, make sure to click Update to save the new settings



The Settings page sets up a 'hardware' keypad range limit. Any keypad outside of this range WILL NOT receive the 'open vote' command, thus it will show "A", "B" or "C" when 1, 2, 3 buttons are pressed.


NOTE: See below what will happen if this Keypad Range includes keypads that are EXCLUDED in the TownVOTE Participant List (within the app)


Second, setup a Keypad Range inside TownVOTE (Voting & Elections):

  1. Click Participants button on the left
  2. Click the Keypad Range radio button at the top
  3. Enter the correct Keypad Range 
    1. This must be within the other Keypad Range you set up above, otherwise, keypads outside that range won't work
  4. Click Add to insert the range
    1. Optional: backup your list by clicking Export and save the CSV file to your computer, so that you can click Import later, or send it to another computer where TownVOTE is installed and needs to be used.
  5. Verify that the correct number of voters (keypads) is listed above the scrollbar.



NOTE: If a keypad number is within the Keypad Range set on the main Dashboard Settings page, but is missing from the Participants page in TownVOTE, it will APPEAR to be voting, but the vote WILL BE IGNORED.


Keypads receive a command from the receiver saying "vote is open" and "there are two options available" or "there are five options available", so only the 'valid' buttons are going to respond to a finger pressing them.


Keypad will have a different response to different Keypad Range settings:

  • If Settings --> Keypad Range is 1 -500, TownVOTE --> Participant List is 1- 100
  • Alternatively, if Settings --> Keypad Range is 1 - 100, TownVOTE --> Participant List is 1 - 500
  • Vote is Open and Yes/No (1/2) are the only available options (answer choices)
    • Keypads 1 - 100 will show "1" and "OK" when user presses 1 and their vote WILL be counted.
    • Keypads 101 and higher will show "1" and "OK", but their vote will NOT be counted (will be ignored)
    • Buttons 3, 4, 5 will NOT work at all
  • If the Vote is Closed or the Keypad doesn't have a connection with the base receiver
    • Keypads will show "A", "B", "C", "D" and "E" and no "OK"
    • No votes are being submitted/counted
